Pipelines & deals — Kanban board, stages, forecasts
Track every opportunity through your sales motion.
Pipeline anatomy
A pipeline is an ordered list of stages. A deal moves from one stage to the next as you advance the work. Each stage has a default win probability that contributes to your weighted forecast.
Creating a pipeline
Pick a template or start blank
Templates: Sales (Lead → Qualified → Demo → Proposal → Won/Lost), Hiring (Applied → Phone screen → Onsite → Offer → Hired), Partnership, Customer Success. Each is editable after creation.
Edit stages
Click ⋯ on a column header → Edit stage. Set name, win probability, and stage type (open / won / lost). Drag columns to reorder. The first won/lost stage you mark becomes the default close stage.
Add custom fields
Settings → Pipelines → <pipeline> → Custom fields. Common ones: deal source, expected close date, contract length, MRR if won.
Working a deal
Create
+ New deal from the Deals page or directly from a contact card. Required fields: name, contact, amount.
Move stages
Drag the deal card between columns, or open it and click Advance stage. Stage changes are logged to the deal's timeline automatically.
Log activity
Every email, meeting, call, and note attached to the contact also shows up on the deal timeline. Add deal-specific notes inline.
Win or lose
Click Won or Lost. For lost: pick a reason from the configurable lost-reason list. Reasons feed your conversion analytics.
Forecasts
The forecast widget on the Deals page shows weighted pipeline value (sum of deal amount × stage win probability) for the current period and next two periods. Shown alongside is gross pipeline (sum of amounts regardless of probability).
Weighted forecast is only useful if your stage probabilities are calibrated. Calibrate by looking at your last 20 won deals — what % were at each stage when first identified? That's your real probability for that stage.
Multiple pipelines
Pro and Teams plans let you run multiple parallel pipelines (sales, hiring, partnerships). Switch between them via the pipeline dropdown above the board. Free is one pipeline only.
